Most telephone systems have their ringing mode set for automatic, so that the system automatically rings calls to the receptionist or day auto attendant menu during the daytime, and to the night auto attendant menu when the business is closed. But, there may be times when it is necessary to override the ringing mode.
How you do this depends upon the configuration of your phone system. Please select the following method which matches the configuration of your phone system.
Method 1: NIGHT / DAY / AUTO buttons on one or more phones.
Typically, the NIGHT / DAY / AUTO buttons are programmed on only one telephone, usually the receptionist's phone. These buttons are used to manually set the ringing mode. The NIGHT mode usually causes calls to be answered by the Night auto attendant menu, stating that the business is closed. The DAY mode usually causes calls to ring to the receptionist or group of phones who typically answer calls when the business is open. The AUTO mode usually causes calls to ring to the DAY auto attendant menu, stating that the business is open and allowing the caller to direct their call by entering an extension or selecting an option.
To use the NIGHT, DAY or AUTO Buttons:
- Press the desired mode button, i.e. NIGHT.
- Enter the passcode (typically 0000).
- The new mode is now active and will remain active until the next regularly scheduled mode change.
Method 2: RING PLAN button on one or more phones.
This method works similarly to the method described above, but it saves buttons. Using this method, the user must enter the mode number manually.
To use the RING PLAN button:
- Press the RING PLAN button.
- Enter the passcode (typically 0000).
- Enter the single digit mode number, where mode 1=NIGHT, 2=DAY, 3=AUTO. Or, enter 0 to clear any overrides and return the system to it's normally scheduled mode.
