Amanda Voicemail System – Greeting Administration
Recording System Greetings

All recordings on the Amanda system are user mailbox greetings. To record the greeting for a mailbox, follow these simple steps:

  1. Press your voicemail button, or dial the voicemail extension number (usually 500).
  2. When the system prompts you to enter your access code, press #. You should be returned to the main greeting.
  3. Press *. The system should prompt you to enter your user id or mailbox number.
  4. Enter the mailbox number whose greetings you want to change, followed by # (see attached list of greetings). Then enter the security code and press #. If you are prompted to press 1 to set up your mailbox now, or press 2 to skip setup, select option 2 to skip the automated setup process.
  5. Press 2 for the greetings menu.
  6. Enter the number of the greeting number to change (1 through 7).
  7. Press 2 to record a new greeting.
  8. Record the new greeting, press # when finished. Follow the instructions given to listen to your recording (1), record again (2), or save the recording (9).
  9. Hang up after saving the new greeting.

IMPORTANT NOTE: when you record a greeting, you are activating that greeting, so you should reactivate the proper greeting, if necessary. Example: you decide to change your company’s night greeting, and it is currently daytime. You go through the steps listed above and record a new greeting. As soon as you perform step 6, you have activated the night greeting, and all callers will hear the night greeting until the next automatic scheduled greeting change. Follow the steps below to manually activate the correct greeting.

Manually Activating a Main Company Greeting
  1. Press your voicemail button, or dial the voicemail extension number (usually 500).
  2. When the system prompts you to enter your access code, press #. You should be returned to the main greeting.
  3. Press *. The system should prompt you to enter your user id.
  4. Enter the mailbox number whose greetings you want to change, followed by # (see attached list of greetings). Then enter the security code, and then press #.
  5. Press 2 for the greetings menu.
  6. Press the greeting number to activate (1 through 7).
  7. Hang up. The selected greeting will now be active until the next automatically scheduled greeting change.
List of Greetings

The following is a list of the typical mailbox numbers and some standard greetings used by the Amanda system. Some systems may differ, and if you have a more complex application, especially where there are different main greetings for multiple companies or departments, you will have additional mailboxes used as main greetings. Contact the Telephone Warehouse service department and ask for a list of the greetings used by your company.

Mailbox 990: Main greeting
Greeting 1: “Good morning and thank you for calling (company name}.”
Greeting 2: "Good afternoon and thank you for calling (company name)."
Greeting 3: "Good evening and thank you for calling (company name)."
Mailbox 990 uses auto-scheduling to change the active greeting throughout the day.

Mailbox 991: Instructions
Greeting 1: (Typical:” If you know your party’s extension number, you may dial it at any time. For a directory of extensions, press 8. For {department name}, press 1. For {department name}, press 2. Or to reach our receptionist, press zero or simply remain on the line. Thank you.”)

Greeting 2: (Typical: “Our office is now closed. Normal business hours are {hours}. If you know your party’s extension number, you may dial it at any time. For a directory of extensions, press 8. For {department name}, press 1. For {department name}, press 2. Or to leave a general message, press zero or simply remain on the line. Thank you.”

Greeting 3: (Typical: “Our office is now closed in observance of the Holiday. Normal business hours are {hours}. If you know your party’s extension number, you may dial it at any time. For a directory of extensions, press 8. For {department name}, press 1. For {department name}, press 2. Or to leave a general message, press zero or simply remain on the line. Thank you.”

Mailbox 991 uses auto-scheduling to change the active greeting. Active greeting can be manually changed to change the business status (open or closed)

Mailbox 992: Holiday (if the perpetual holiday mode programming is utilized)
Greeting 1: (Typical: “Our office is now closed in observance of the Holiday. Normal business hours are {hours}. If you know your party’s extension number, you may dial it at any time. For a directory of extensions, press 8. For {department name}, press 1. For {department name}, press 2. Or to leave a general message, press zero or simply remain on the line. Thank you.”

Mailbox 0: Operator / General Messages
Greeting 1: (Typical: “You have reached the general voicemail box at {company name}. After the tone, please leave a message including the name of the party you are trying to reach, your name, telephone number, and a brief message. Your message will be picked up and forwarded to the appropriate party when we return to the office. Thank you.”)

Mailbox 0 typically has DND OFF when the business is open, and has DND ON when the business is closed, using autoscheduling to change the DND mode.

When DND is ON, callers go directly to the greeting of mailbox 0, which is typically the general mailbox greeting. Messages left for this mailbox are typically stored in the receptionist’s mailbox. When DND is OFF, callers are transferred directly to the operator group. DND mode can be manually activated or deactivated to change operator’s availability mode.
