In order for callers to hear your personal greeting when they reach your voicemail, you must first record a personal "No Answer Greeting." Otherwise, when callers try to reach you, they will hear: "I'm sorry, the call was not answered. To try another extension, enter it now. To leave a message, press 1. To exit, press the star key. For assistance, press zero."
After you have recorded a personal No Answer Greeting, callers will hear it when they reach your voicemail instead of the generic message outlined above.
IMPORTANT NOTE: there are actually TWO types of greetings in your mailbox: the RING NO ANSWER greeting, and the MAILBOX greeting. The RING NO ANSWER greeting is the one that callers will hear. The MAILBOX greeting is typically only heard by internal callers, and we recommend not using that greeting at all. In most of our installations, we actually turn off the ability to record a MAILBOX greeting.
To record your personal No Answer Greeting:
- Access your voicemail.
- Press 5 for your greetings menu.
- If necessary, press 1 for your No Answer Greeting. This option may be turned off and the system may take you directly into the No Answer Greeting menu.
- Press 2 and follow the instructions for recording your No Answer Greeting.
- After you have saved the greeting, press 1 when prompted "If this is the correct greeting..."
Some notes on recording greetings:
- Always give callers access to a person for assistance, either by instructing them to press zero or dial an associate's extension.
- If you record a lengthy greeting, inform callers they can skip it by pressing 1.
- Smile while you're recording your message. Believe it or not, callers can hear a smile and it sounds positive and friendly.
Some sample greeting scripts:
- Hi, this is Rick. I'm sorry I missed your call. To leave me a message, press 1 or wait for the tone, or to return to the company operator, press zero. Thanks for calling.
- Hi, this is Rick. I'm either away from my desk or out of the office. To leave me a message, press 1 now or wait for the tone. To be transferred to my cell phone***, press 2. To reach my assistant, Melissa, dial 215. Or, to return to the company operator, press zero. Thanks for calling.
- Hi, this is Rick. If you've hear this greeting already, press 1. On Thursday, July 20th, I will be out of the office in the morning on customer appointments, and I will be in the office in the afternoon. To leave me a message, press 1 or wait for the tone. To be transferred to my cell phone***, press 2. Or, to return to the company operator, press zero. Thanks for calling.
Multiple Greetings
The Samsung SVMi-E Series Voicemail system supports 9 personal greetings per user mailbox. Multiple greetings can be used to quickly and easily change the greeting that callers hear when they reach your voicemail.
Here are some examples of how a user might use multiple greetings:
Greeting 1: "Hi, this is Rick. I'm in the office but I'm away from my desk. To leave me a message, just wait for the tone. Or, to return to the company operator, press zero. Thanks!"
Greeting 2: "Hi, this is Rick. I'm currently out of the office on appointments. To leave me a message, press 1 now or just wait for the tone. To be transferred to my cell phone, press 2. *** Or, to return to the company operator, press zero. Thanks."
Greeting 3 (recorded as needed): "Hi, this is Rick. I will be out of the office on vacation from Thursday July 20th through Monday July 24th, returning on Tuesday July 25th. To leave me a message, press 1 or wait for the tone. To reach my associate, Greg Ahlborn, enter 217. Or, to return to the company operator, press zero. Thanks."
To change your currently active no answer greeting:
- Access your mailbox.
- Press 5 for your greetings menu.
- If necessary, press 1 for your No Answer Greeting. This option may be turned off and the system may take you directly into the No Answer Greeting menu.
- Press 3 to select a greeting.
- Enter the greeting number (1-9).
- Press to accept this as your current no answer greeting.
- Hang up. You're finished!
