On the Amanda voicemail system, any main greeting (open, closed or closed for holiday) can be manually activated at any time from any phone in the office or outside of the office using the following instructions:
A) Activate your desired main company greeting:
-
Access company main greeting. This can typically be reached by dialing the main telephone number and waiting for the automated attendant to answer. If answered by a person, ask them to transfer you to voicemail by press their VOICEMAIL button and hanging up or by pressing TRSF 500 and hanging up. This should put you at the main company greeting.
-
Press * (star key). System will prompt you to enter a mailbox number.
-
Enter 991#. (991 is the mailbox that contains the greeting the caller hears depending on the time of day.)
-
When prompted for security code enter 1234#.
-
Press 2 to change greeting.
-
Press the appropriate greeting number you wish to activate.
Greeting 1 = Opened, Greeting 2 = Closed, Greeting 3 = Closed for the Holiday, Greeting 4 = Special Greeting.
-
Press 1 to review the current greeting you have selected to make sure it is the correct one.
-
Once confirmed, dial 9990 to return to the main menu.
B) Make Operator Available or Unavailable
-
You should still be at the company main greeting. If not, hang up and then follow step A-1 listed above.
-
Press the * (star key). You will be prompted to enter a mailbox number.
-
Press 0 (zero) and then press #.
-
When prompted for security code enter 1234 #.
-
Press 3 for mailbox options.
-
Press 1 to toggle Do Not Disturb status. If Do Not Disturb is ON, then operator is not available and callers who press zero will go to the general mailbox. If Do Not Disturb is OFF, then operator is available and callers who press zero will be transferred to the operator’s telephone extension.
-
Hang up.
C) Activate Night Mode
-
If you are closing early, and you normally press a NIGHT button on your operator console extension when you leave the office in the evening, press it now to activate the automated attendant answering system.
D) Test by dialing your main number and insuring that the proper greeting answers.
